YourDomi Privacy Notice

1. Who we are

We are the controller for the processing described in this notice. We have not appointed a data protection officer.
2. Who this notice applies to
This notice applies to:
- owners whose property we manage;
- prospects: owners we contact or who contact us;
- guests who stay in a property we manage;
- visitors to www.yourdomi.be and users of our online tools (revenue analysis, brochure, quote, onboarding);
- cleaning and maintenance partners who carry out jobs through our app;
- applicants, suppliers and business partners.
A separate internal privacy notice applies to our own staff.
Booking platforms such as Airbnb, Booking.com and Vrbo also process your data for their own purposes. Their own privacy notice applies to that processing.
3. What data, why, and on what legal basis
3.1 Owners
Data: name, address, email, phone number, company and VAT number, account number (IBAN), data about your property (address, layout, equipment, photos, certificates and permits, access information), contract data, digital signature data (timestamp, IP address), bookings and revenue for your property, statements, invoices and our correspondence.
Purposes and legal basis:
- Quote, contract and onboarding: performance of the contract and pre-contractual steps.
- Managing your property: listings, pricing, guest communication, cleaning, statements and payouts: performance of the contract.
- Invoicing (including via Peppol), accounting and tax obligations: legal obligation.
- Proof of signature and handling disputes: our legitimate interest in being able to demonstrate our rights.
- Information about new YourDomi services: our legitimate interest. You can opt out at any time.
Without this data we cannot enter into or perform the contract.
3.2 Prospects
Data: name, contact details, address and characteristics of your holiday home, photos you send us, whether it is a new build, whether the property is held privately or through a company (and which company), the cadastral income (KI), current rental income and management terms if you provide them, notes from our conversations, and whether you open our emails and brochure and which parts you view.
Source: you (contact form, request for a personal proposal, our tax guide or sample statement, phone), the public registers of tourist accommodation, and public listings for your property.
Purposes and legal basis:
- Sending you our tax guide or a sample statement at your request: pre-contractual steps at your request. Contact about our management only if you tick that option: your consent.
- Preparing a proposal for your property at your request, including the expected revenue and possible letting structures: pre-contractual steps at your request.
- Contacting you about our management: our legitimate interest in informing owners of tourist accommodation about our services.
- Sending you information by email: your consent, given for example during a phone call or via our form.
- Measuring whether you open our emails and which parts of our brochure or quote you view: your consent. We ask for this during our phone call, before we send you the first email. You can withdraw your consent at any time.
You can let us know at any time that you no longer wish to be contacted. We then keep only your number or email address on an internal list, so that we do not contact you again. We comply with the "Do not call me" list (Bel-me-niet-meer-lijst).
3.3 Guests
Data: name, contact details (often an email address or number from the booking platform), number of guests, stay dates, arrival and departure times, messages you send us, special requests, booking amount and payment status, temporary access codes, reports of damage or incidents (with photos), and your review.
Source: the booking platform through which you booked, and you.
Purposes and legal basis:
- Organising your stay: communication, access, cleaning and maintenance: performance of the contract.
- Answering your questions, including in the evening and at weekends. For this we use software that translates messages and can suggest a reply based on information about the property: our legitimate interest in responding quickly and correctly.
- Legal obligations, such as a request from the police or the courts: legal obligation.
- Statement with the property owner: our legitimate interest and our contract with the owner.
- Handling damage and incidents: our legitimate interest.
In some properties a sound sensor measures only the noise level, to prevent nuisance to neighbours. The sensor does not record conversations. This is stated in the property's listing.
3.4 Website visitors and users of our tools
Data: technical data (IP address, browser, device, pages visited), data you enter in the contact form or the request for a personal proposal, your email address and regions if you subscribe to the newsletter, and, for a personal link (brochure, quote, onboarding), when you open it and which parts you view.
Purposes and legal basis:
- Making the website and tools work and keeping them secure: our legitimate interest.
- Answering your query and preparing your proposal: pre-contractual steps at your request.
- Sending you the newsletter: your consent. You can unsubscribe at any time via the link in every email.
- Analytics and advertising measurement via cookies: your consent (see point 9 and our cookie notice).
3.5 Cleaning and maintenance partners
Data: name, contact details, username, notification preferences, assigned jobs, start and finish times, checklists, photos and videos of work carried out and damage, feedback, quality ratings, fees, payments and company data.
Purposes and legal basis:
- Planning, carrying out and paying for jobs: performance of the contract.
- Monitoring quality and identifying damage: our legitimate interest.
- Accounting: legal obligation.
3.6 Applicants, suppliers and partners
Data: contact details, CV and cover letter (applicants), invoices and correspondence (suppliers and partners).
Legal basis: pre-contractual steps, performance of the contract and legal obligations.
4. Automated decision making
We do not make decisions that are based solely on automated processing and that produce legal effects concerning you or significantly affect you. Our pricing algorithms relate to properties, not to individuals.
5. Who we share your data with
We share only what is necessary for the purpose, with:
- booking platforms: Airbnb, Booking.com and Vrbo;
- property management and pricing software: including Guesty and PriceLabs;
- hosting and our own software: including Vercel, Neon and Railway;
- website: Vercel, and with your consent Google Analytics and Microsoft Clarity;
- email, SMS and internal communication: including Google Workspace, Resend, Twilio and Slack;
- AI service providers for translation and draft replies: Anthropic;
- invoicing, accounting and payments: Billit, our external accountant, Stripe and our bank;
- cleaning and maintenance partners: only stay dates, number of guests, special requests and access information;
- the property owner: the booking data needed for the statement;
- public authorities: Toerisme Vlaanderen (Visit Flanders' tourism authority), the Commissariat général au Tourisme, the tax authorities, the police or the courts, where the law requires it;
- insurers and advisers, in the event of damage or a dispute;
- a buyer or investor in the event of a (partial) transfer of our business, under confidentiality and with the same safeguards.
Service providers who process data on our behalf do so under a data processing agreement. We do not sell your data.
6. Transfers outside the European Economic Area
Some of our service providers are established outside the EEA, including in the United States. We only transfer data with an appropriate safeguard: an adequacy decision of the European Commission (such as the EU-US Data Privacy Framework, where the provider is certified) or the European Commission's standard contractual clauses. A copy of the safeguard can be requested via hello@yourdomi.be.
7. How long we keep your data

After that, we delete or anonymise the data.
8. Your rights
You have the right to access, rectify, erase, restrict the processing of, and port your data. You can object to processing based on our legitimate interest. You can always object to direct marketing, without giving a reason. Consent you have given can always be withdrawn.
Send your request to hello@yourdomi.be. We may ask you to confirm your identity. We reply within one month. For complex requests this period may be extended by two months; we will let you know if that happens.
If you are not satisfied, you can lodge a complaint with the Data Protection Authority (Gegevensbeschermingsautoriteit / APD), Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be, www.gegevensbeschermingsautoriteit.be.
9. Cookies
Our website is hosted by Vercel. We place strictly necessary cookies for the operation and security of the website without consent. We place analytics and advertising cookies only after you agree to them via the cookie banner. You can change your choice at any time via the cookie settings at the bottom of the website or via your browser.
10. Security
We protect your data with appropriate technical and organisational measures, including encrypted connections, personal logins with limited access rights, personal links with a unique key, audit logging for digital signatures, and backups. No system is completely invulnerable. We adapt our measures where needed.
11. Minors
Our website and services are aimed at adults. We receive data of minor guests only as part of a booking made by an adult.
12. Changes
We may amend this notice when our services, tools or the law change. The most recent version is always available at www.yourdomi.be, with the date of the last update.
